Resource / Working note

Evidence that stays
useful.

A simple structure for keeping policies, proof, owners, and review dates ready for the next customer conversation.

Build it around decisions

Evidence should answer
“how do you know?”

01

Give each item an owner

Name the person who can explain what the evidence proves and when it should be reviewed.

02

Record the date and scope

Include when a document, review, access check, or training record was completed and what it covered.

03

Keep the source close

Link to the controlled source or agreed location instead of keeping multiple untracked copies.

04

Mark exceptions honestly

Record gaps, compensating actions, and planned dates clearly. A known gap is easier to manage than a hidden one.

05

Review it on a rhythm

Use a calendar tied to customer reviews, internal governance, and the assurance objective.
